Adjustment reports and monthly totals

Available on: Pro Plus.

The Inventory adjustments report lists every adjustment line you have made, with the cost impact of each. It is where you answer "what did we write off this month, and what did it cost".

Find it at Reports → Inventory adjustments .

What the report gives you

One row per adjustment line, with:

Qty delta is the amount adjusted by, positive or negative. Cost impact is what that movement was worth, so a write-off shows as a negative value.

Lines for products with no cost set contribute nothing to cost impact.

A Barcode column is available too, switched off by default. Use Edit columns to show it, or to hide anything you do not need.

Filtering

Filter by location, status, reason, adjusted by and date.

Reason covers both the built-in reasons and any custom reasons you have created, so your own categories are as filterable as the standard ones.

For a month-end figure, filter to the month by date and to Completed by status - drafts are not stock movements that happened.

Getting a total

The report shows the lines, not a total. To get a figure, export and sum in a spreadsheet.

  1. Filter to the period and reasons you want.
  2. Export the report to CSV.
  3. Open it and sum the COST IMPACT column.

The export carries more than the screen does. Alongside the columns you can see, it adds UNIT COST next to cost impact, QTY BEFORE and QTY AFTER next to the delta, NOTES next to the reason and VARIANT next to the product, so you rarely need to go back for detail.

For a breakdown by reason, either export once per reason filter, or export the lot and use a pivot table on the reason column - usually quicker if you want several categories at once.

A month-end example

To find what you wrote off to damage in a month:

  1. Filter Date to the month.
  2. Filter Status to Completed.
  3. Filter Reason to Damaged.
  4. Export, and sum Cost impact.

Repeat with Shrinkage or loss for the other half of the usual shrinkage figure, or filter to both at once for a combined total.

Exporting

The export covers the report as you have filtered it - so filtering to a single adjustment number exports that adjustment's lines.

For one adjustment on its own, you do not need the report at all. Open the adjustment and choose More actions → Export CSV. That works at any status, and gives you the before and after quantity for each line alongside the unit cost and cost impact.

The two exports answer different questions. The report is for totals across a period; the adjustment's own export is for the detail of that one movement.

What the report does not carry

There is no product type column, in the report or in the column picker, so you cannot break write-offs down by product type here. If you need that split, export and match SKUs against a product export from Shopify.

There is also no total on screen. The report lists the lines and leaves the arithmetic to your spreadsheet, which is why the export route above exists.
